Granular Permissions and Roles
Managing Access Made Simple
The right balance of control, flexibility, and security, no matter the size of your organisation.
Whether you’re running a small grants programme or managing hundreds of applications across multiple teams, Submit.com gives you precise control over who sees what, when, and why.
Three Main Privileged Roles
A clear, structured approach to access control
Submit.com is built around three distinct role types, giving you a straightforward foundation to manage permissions across your entire programme, from full administrators to external reviewers.
Team Leaders
Full platform access for those who need it most
Team Leaders hold administrator-level access across the entire platform. Assign this role to those responsible for managing the programme end to end.
What they can do:
- Access all forms and all applications
- Create, edit, and delete forms and applications
- Manage users, settings, and permission profiles
Best practice: Keep this group small. Fewer administrators means fewer opportunities for accidental changes and a tighter security posture overall.
Team Members
Tailored access for every member of your team
Team Members get exactly the access they need, nothing more. With granular permissions across four key areas, you decide precisely what each person can see and do.
What they can access:
- Forms: create, edit, and delete capabilities
- Applications: review, edit, assign, and message
- Users: manage or interact based on their access level
- Site: reports, labels, themes, and settings
Pro tip: Use Permission Profiles to define access by role, such as Junior Staff, Senior Staff, or Front Desk, and apply them to multiple team members at once. Set it once, apply it everywhere.
External Reviewers
Focused, read-only access for external partners
Give external collaborators exactly the visibility they need to do their job, without exposing the rest of your programme.
What they can access:
- Applications shared directly with them
- Read-only view of relevant applications
- Optional ability to score and comment
- No access to forms, settings, or other applications
Ideal for: Assessors, panel members, independent reviewers, and external partners who need focused access without the risk of overreach.
